Core Team Guidelines

As a non-profit, the Core Team of Science Integrated Direction for Highschool Investigators (SIDHI) does not have any formal legal responsibilities. The general role of members of the core team is to lead the operation of SIDHI activities. Here are the details of the qualifications, responsibilities, and benefits of being a part of the SIDHI Core Team:


Qualifications

  • At least high school graduate

  • Able to access at least one communication device with internet capabilities

  • Passionate about engaging and inspiring the next generation of STEM innovators

  • Able to communicate clearly in spoken and written English

  • At least actively participated in original or collaborative scientific research (preferred but not required)


General Responsibilities

  • Requires 2-3 hours per week

  • Attends regular meetings with core team to discuss tasks

  • Attends meetings with the Advisory Board

Available Roles and Responsibilities

Executive Secretary:

  • Plans regular team meetings and takes down meeting minutes

  • Organizes and replies to emails and SNS messages or redirects them to specific members, if necessary

  • Arranges team’s drive, folders, and documents


Financial Manager:

  • Oversees the organization’s finances and develop plans for long-term financial goals

  • Distributes and prepares the funds for various organizational needs and activities (software licenses, grants, scholarships, etc.)

  • Takes account of all financial transactions (donations, purchases, expenses, etc.)

  • Creates quarterly financial reports


Partnership Manager:

  • Coordinates partnerships with schools and organizations

  • Make connections to key contacts

  • Works with the Team Leads to introduce partners to the program

  • Works with the Events Coordinator to organize events with partners


Program Coordinator:

  • Plans and organizes the mentorship program

  • Leads the application process for mentors and mentees, as well as the selection of projects

  • Organizes the resources for the mentorship program, such as toolkit, manual, regular guides to aid the regular meetings/meetups or mentors and mentees

  • Monitors the progress of the program and collects regular feedback


Network Coordinator:

  • Work with the core team to organize initial mentor training

  • Communicate events and initiatives through the Facebook group

  • Provide training and ongoing Organize and facilitate events

  • Gather and consolidate program feedback for improvement


Events Coordinator:

  • Organize and facilitate events for mentors and mentees beyond mentorship program

  • Organize virtual monthly events

  • Brainstorm potential activities and partnerships with schools and other science organizations


Content Planner:

  • Find and curate content for social media posts

  • Plan out schedules for posts on various social media sites (Facebook, LinkedIn)

  • Oversee brand management and social media content

  • Work with the marketing manager


Marketing Manager:

  • Must manage and organize social media sites (Facebook, LinkedIn)

  • Reply to comments and relay questions to the team (if you don’t know the answer/s)

  • Oversee brand management and social media content

  • Work with the content planner


Webmaster:

  • Set up the design and content of the website (content is already available)

  • Oversees brand management and website

  • Manage necessary maintenance of the website

  • Work with other members of the Communications Team


Others:

  • If you are interested to help out in any other capacity or would only like to volunteer short-term (less than a year). Feel free to select Other and share what would you like to do. You may also give more info under the section: "anything else you would like to share."




Opt-in/Opt-out Policy

At any time during a member’s term, the member or the Organization can terminate the role with notice for any reason or no reason at all. In such a case: either party shall give notice before 2 months of the planned termination date to provide a 2-month transition period. Within the transition period:

  • the organization can look for another replacement for the specific role through the terms of the role’s appointment

  • the member may or may not continue to perform her/his responsibilities 2 weeks after the notice

  • although not required, it is preferred for the member to assist the organization during the transition period in finding and training a replacement

Appointment and Transition

Two months before the end of every term, every member can choose to

  • continue his/her role for another year (if renewable)

  • end his/her role

  • switch to another role

The organization can then launch a survey for unfilled roles while elections will be held for a position of Co-chair. One month before the end of every term

  • a general meeting should be held for previous and incoming Core Team members

  • previous and incoming members shall work together for a smooth transition during the month

  • New team members will be publicly introduced in Social Media Sites a week before the start of their term.
